Services include:

  • Ensure timely rent collections and management of tenant ledgers:
    • Send out electronic monthly rent statements to all tenants;
    • Post and deposit rent payments onto ledgers; and,
    • Advise Owner of any late rents and any default actions needed.
  • Administer day-to-day accounts’ payable and receivable:
    • Review and approve invoices pertaining to each Property;
    • Timely pay all approved invoices, property taxes and insurance on behalf of Owner; and,
    • Obtain Owner approval for nonrecurring expenses which exceed NAI Cascade’s spending authority as defined in the Property Management Agreement.
  • Issue monthly Owner draws from the Clients’ Trust Account via ACH or eCheck to Owner’s personal bank account.
  • Prepare and process final accounting statements and security deposit refunds or collections for tenants that have vacated the premises.
  • Create annual operating budgets for each Property.
  • Prepare, distribute and collect annual CAM/NNN reconciliations.
  • Prepare detailed monthly and year-end financial reports for each Property, including Owner statements and ledgers;
    • Cash flow and Income/Profit & Loss statements;
    • 12-month cash flow and income statements;
    • Budget variance reports;
    • Aged receivables reports;
    • Income and expense registers;
    • Rent rolls; and,
    • Other customized reports as may be needed for the IRS.
  • Prepare year-end financial reports for tax preparation by Owner and Owner’s accountant.
  • Issue year-end 1099s to Owner and all vendors with required submission to State of Oregon.
  • Make site visits to each property at a frequency agreed upon by Owner and NAI Cascade;
  • Proactively inspect the premises for any maintenance issues;
  • Coordinate with third-party service providers for recurring maintenance contracts, such as landscaping, snow removal, parking lot maintenance, window washing, and heating/cooling preventative maintenance;
  • Report to Owner promptly any conditions at, on or about the Property which, in the opinion of property manager, require the attention of Owner or third parties on Owners’ behalf;
  • Coordinate, meet with contractors and obtain bids for maintenance or repairs as needed and submit to Owner for approval;
  • Check vendors’ workmanship of repairs and contracted services at each property; and, Recap property management activities in a monthly written narrative report to the Owner.
  • Check in with tenants regularly so that they are accustomed to dealing with NAI Cascade, instead of contacting you as the building Owner;
  • Professionally and promptly respond to tenant concerns and requests;
  • Coordinate and supervise any tenant improvements as well as the move-in and move-out processes; and,
  • Provide analysis of market lease rates for tenant renewals.
